An online class is one live lesson: a class, a subject, a teacher, a start time and a length. Parents see it on their login and join with one button.

Before you start

The two ways to hold a class

Odoo video call Nothing to set up for the class. The call is created when the first person joins.
Meeting link Create the meeting in Zoom, Google Meet, Teams or another service, and paste its link. Add the meeting ID and the passcode if the service asks for them.

Whole classes on the Odoo video call

The Odoo video call suits a small group. For a full class it needs an extra server that your administrator sets up once. Until that is in place, use a meeting link for whole classes.

Scheduling a class

  1. Online Classes → My Online Classes → New.
  2. Choose the class and the subject.
    • If you are the one teacher assigned to that subject for the class, your name is filled in. If several are assigned, choose one.
  3. Set when it starts and its length.
  4. Choose how it is held. For a meeting link, paste the link.
  5. Under For Families, write what the child needs: the book, the page, a worksheet.
  6. Press Schedule. Parents now see the class.

Until you press Schedule the class is a draft, and only you and the coordinator see it.

A whole day from the timetable

When the school teaches a day from home, do not type the day in again.

  1. Online Classes → Schedule from the Timetable.
  2. Choose the days. One month at most.
  3. Leave Classes and Subjects empty for everything, or narrow them.
  4. Choose how the classes are held. One meeting link can be used for all of them, or leave it empty and give each class its own.
  5. Tick Schedule Them Now to tell parents straight away, or leave it off to check the drafts first.

Every lesson of the published timetable on those days becomes an online class, at the time of its period, with its own teacher. Holidays and days off are skipped. Running it again for the same days adds nothing.

A teacher gets the lessons they teach. The coordinator can untick Only the Lessons I Teach and get the whole school's.

Holding the class

Open the class and press Start Class a few minutes before the time. It opens the video call or the meeting in a new tab.

Parents can join from the minutes-before time until the class ends. The class shows a blue line when it is open.

The Who Joined page lists each child whose family joined, and when.

Who Joined is not the register

It says a family opened the class. It does not mark attendance. Take the register as you would for any lesson.

Afterwards

  • The class becomes Done on its own once its time has passed. You can also press Mark Done.
  • Paste a Recording link for the families who missed it. They find it on their login.

Changing or cancelling

  • Moving a scheduled class: change its start. Parents see the new time.
  • Cancelling: write the reason on the class, then press Cancel Class. Parents stop seeing it.
  • Reset to Draft takes a scheduled or cancelled class back to a draft.
  • A class that is done or cancelled keeps its class, subject, teacher and time. Only a draft can be deleted.

What parents see

Under My Account → Online Classes:

  • Coming up: each class with the subject, the topic, the time, the teacher and what to bring. The Join button works from the minutes-before time. Before that it says Opens at 09:50.
  • Earlier: the last twenty classes, with Watch the recording where the teacher left one.

A family sees only its own children's classes, for the class the child is in this year. The meeting link is never shown on the page: Join sends them straight in.

Why the system stopped you

Message What it means
…is not assigned to teach… Add the teaching assignment under Staff first.
…has more than one teacher for… Choose which teacher takes this class.
Nobody is assigned to teach… The subject has no teacher for this class this year.
…is held on a meeting link, and has none yet Paste the link, or hold the class on the Odoo video call.
…already has an online class then The teacher, or the class, is in another scheduled online class at that time.
…has to be a full web address The link must start with https://.
There is nothing to schedule No lesson of a published timetable falls on a school day in that range, or they are all online classes already.
